The Role:
The Day Program Manager is responsible for providing direction and supervision to program staff and provide support to individuals served within the program and assisting the Program Director and Evening Program Manager in implementing plans for the smooth running of day-to-day operations. The Day Program Manager responsibilities include providing oversight and guidance to Program Staff, ensuring all aspects of programming are being adhered to, to ensure services are being delivered. The Day Program Manager is part of the SAIL On-Call Rotation and Considered Essential staff.
Essential Responsibilities:
- SAIL Program Managers are responsible for an assigned caseload that includes 50% of the SAIL census. This includes case management responsibilities, billing, scheduling, and annual planning objectives.
- Bi-Weekly payroll for DSP personnel and annual employee evaluations.
- Complete written reports and related documents in accordance with CHSC and CT DDS policy. Assist the individual and team in the developing goals and objectives for the coming year.
- Responsible for monitoring the SAIL Program cell during shift hours and walkie. Manager should answer all incoming calls from SAIL Community Members and/or parents or delegate to a staff member as necessary.
- Meets with the SAIL Program Director regularly to review effectiveness of daily operations and troubleshoot specific issues involving the adults and/or families.
- Provides ongoing direction, modeling, and direct support to all assigned staff that promotes a team approach and ensures programs and services are being delivered in accordance with the program expectations, CHSC’s mission, and individuals goals and plans.
- Provides ongoing modeling and direct support to all individuals served, including stepping in & providing necessary coverage for program staff.
- Work with the Director and Program Manager, Evening, to implement a training program to ensure all new and current staff are thoroughly oriented to residents, co-workers, program, mission, and culture of Chapel Haven. This will include shadowing in various departments and staff, and completing all required training upon hire and thereon, annually, and as required.
- Notifies the Program Director and HR of any personnel issues in a timely manner, will be proactive in communication with HR to solve or rectify all personnel issues and provide follow up regarding all HR issues with direct reports and the SAIL Program Director
- Ensures staff are adequately trained to complete correct and concise documentation in SetWorks as outlined in an individual’s plan by checking SetWorks weekly and following up with direct reports to ensure documentation is completed in a timely manner.
- Maintain positive and professional communications with individuals, parents/family members, guardians, physicians, funding sources and other professionals as determined by an individual’s plan.
- Provide advocacy on clients’ behalf to ensure timely, quality service.
- Ensure all shifts are appropriately staffed, while also minimizing overtime by being creative in staffing based on program needs.
- Monitor and provide counseling and/or immediate written documentation to direct reports who do not follow specific program and/or Agency policies regarding excessive absenteeism, call-outs and call out procedures, requesting PTO, securing coverage, abuse of PTO/Sick policies.
- May serve as a representative of the SAIL Program for departmental committees such as: the Health & Safety committee– ensuring completion of HS inspection reports for the SAIL Program in coordination with the Evening Manager, the Compliance Committee and Monthly Career Ability team meeting.
SPECIFIC PROGRAM RESPONSIBILITIES:
- Attending agency, program, and staff development meetings.
- Provide transportation of clients as needed, use of own vehicle required.
- On-call duties per Administrator on call schedule for the SAIL Program.
- Complete weekly payroll on ADP for all assigned employees, to include ensuring all agency and program procedures are being followed. (i.e. requesting PTO at least 2-4 weeks in advance, securing coverage, submitting sick time via ADP, submitting missed punch forms in a timely manner) (in the absence of the Program Director)
- Complete annual performance reviews and 90-day evaluations for all direct reports in a timely manner
- Create and implement weekly staff schedules for day shift direct reports.
- Assist with registration for Continuing Adult ED classes and wellness selections.
- Assist with medical appointments as needed.
- Completing monthly drills and completing all reporting mechanisms
MINIMUM EDUCATION REQUIREMENTS:
- Bachelor’s Degree in relevant field preferred, and/ or 5+ years’ experience working with adults with cognitive or social disabilities.
- Familiarity with the Department of Developmental Services (DDS)
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
- Cultural sensitivity and proven ability to work with diverse populations.
- Can demonstrate effective judgement and decision-making skills.
- Demonstrates computer literacy (ie. Word, excel, outlook)
- Good written and verbal skills
- Demonstrates the ability to work independently and as a team member.
- Ability to follow a schedule, take direction and show initiative to follow through.

- Valid CT driver’s license, ability to obtain and maintain a Public Service License endorsement (PSL)
- DDS Medication Administration Certification
